Weddingstar Ltd. Terms & Conditions

1.Quotations:

All quotation issued are valid from the period of the 14 days from Issue, and are subject to availability, unless otherwise specified.

2.Acceptance:

  • Confirmation of an order is subject to payment of a non-refundable deposit. Such payment assumes understanding and acceptance of these terms and conditions. Liability for misunderstandings on instructions placed verbally is not accepted.

  •  Upon acceptance, an Invoice shall be issued indication any remaining balances.

    3.Non-refundable deposit & Final Payment:

     A 30% non-refundable deposit is required for acceptance of any quotations.

If a less than 30% deposit is taken to secure a package, the reaming deposit will need to be made, up to and no later than 14 days after, unless otherwise agreed, Failure to do so may result to the booking being cancelled by wedding star.

4.Cancellation: Cancellation of any accepted order must be provided in writing. IN the event of a cancellation, any deposit paid shall be retained as an administration charge.

  •   In the event of cancellation made 3 months of before. Deposit will be retained.

  •   In the event of cancellation made 6-12 weeks before: Deposit will be retained and 50% of the value of booking chargeable.

  •   In the event of cancellation made 0-6 weeks before: Deposit will be retained and 100% of the value of booking chargeable.

    5.Delivery and set up:

  •  Wedding star will deliver (and setup where appropriate) any goods hired at its own cost, unless and otherwise specified.

  •   The client is responsible is ensuring that the venue is open for access at the agreed time and that it is suitable to house the items. No responsibility is accepted for any arising setup delays due to delayed venue access or other reasons for which wedding star are beyond reasonable control. It is the clients’ responsibility to ensure adequate setup and dismantling times are allocated, at their own cost, with the venue.

  • The client is ensuring that items supplied during setup are ready for collection at the agreed time. Any delays to this time will incur additional labour charge of £150 per each delayed (or part) hour. Wedding star is not responsible for any such charges arising from the fines.

  • Wedding star may at times have to secure wires, cables, and carpets for health& safety reasons using strong adhesive tape.

  •  Please be aware that a residue mark any is left behind on the surface, and that Wedding star is not responsible for any damages arising from this cause.

  • The client must supply Hall Plans/layout of any décor 4 weeks in advance of the event. Wedding star reserve the right to adjust any supplied plans/layouts should any difficulties arise from given information.

  • Failure to supply any written plans of the intended layout will result in wedding star determine a suitable position/location for ordered items.

  • In the event of outdoor functions, the client is responsible in checking the forecast and making a decision on where the set up takes place. The client will be liable to pay for any damages caused to our products due to whether conditions, and will be invoiced accordingly no later than 14 days after the event.

    6. Staging/ Platforms

     It is the client’s responsibility to ensure any platforms/ stages, unless hired from Wedding star, are laid out in advance of the agreed set up time. Dimensions for any stage/ platforms must be obtained in advance from wedding star, and responsibility of any stages/ platform is of the clients, unless hired from Wedding star.

It is the client’s responsibility to ensure traffic on the staging is kept to the minimum in order to prevent any risks to health and safety. This would be applicable whether the staging was provided by wedding star. The venue or by the client themselves. Once the initial set up has been completed and been checked by the client, Wedding star cannot be held liable should any incidents occur.

7.Loss & damages

  • The client is responsible for the damage or loss of any items supplied by Wedding star. The client will be notifies within 7 days of any cost in repairing or replacing any goods hired to the client. The client must meet any such costs within 14 days of the notice being issued.

  •   All items hired from wedding star are fragile pieces. Due to the Health and Safety it is the clients responsibility to ensure care is taken and children are never left unattended around set ups.

  •  It is recommended that family member stay behind until all items have been accounted for and collected by Wedding Star. If there are any shortage or damages and there is nobody available to be notified, the client will have to accept the loss/damages as accounted for Wedding star.

    8. Refundable deposit

    A refundable deposit may be required in advance with the final balance- the client shall be notified if so. This may cover or contribute towards any sums owed to Wedding Star arising from any loss or damages. If there are

no additional charges to be made, the deposit will be refunded in full within 7 days of the function/return date.

9.Title:

 All items remain the property of Wedding star and /or its suppliers, With the exception of the fresh flowers, unless and otherwise specified.

10.Linen & Chair covers:

  •  If the client hires linen, and an agreement to lay the linen has been specified, the client must ensure the tables are laid out at the agreed time for the linen to be placed. If for any reason the tables are not laid out. The linen will be left to one side and it shall then be the client’s responsibility to arrange placement of the linen.

  •  Should chair covers be ordered, It is the client’s responsibility to ensure that these will fit the chairs supplied by the venue. The client must ensure the chairs are set out at the agreed time for the chair covers to be placed. If for any reason the chairs are not laid out , the chair covers will be left to one side and it shall then be the client’s responsibility to arrange placement of the chair covers.

    11. Fresh Flowers:

  •  All fresh floral orders are placed 4 weeks prior to the client’s event. Should clients wish to make any amendments to the fresh flowers then this must be done 4 weeks prior to the date of event. Wedding star cannot guarantee any changes made hereafter.

  •  Cancellation on the fresh floral order must also be made 4 weeks prior to the date of event. Failure to notify Wedding star of any cancellation will result in the client being charged for the order placed.

  •  If client’s supply reference images, whilst Wedding Star will make every attempt to provide a similar product. We cannot guarantee them to be the same as there will be variations on the delivered product.

  • Fresh flowers and/or petals are not allowed on red carpet hired for the event. Wedding star reserve the right to charge for any unremovable stains caused by the fresh flowers/petals on the red carpet. Biodegradable flowers and/ or petals can be used.

    12. Other:

    Any clients goods bought to the venue shall be at the client’s own risk.

  •  Wedding star is not responsible for laying out any tables, chairs, linen or

    table decorations unless and otherwise specified.

  •  The client must ensure a working fire extinguisher is immediately available when whey are using the Havan Kund as Wedding Star accept no responsibility for the fire, if it was to become a hazard.

  •  Wedding star is not liable for any bulbs or fuses which blow during the event. As these can blow at any time. The client must ensure that the correct numbers or sockets are available and in working order in order to set up any lighting equipment as required.

  • Clients must ensure adequate space is assigned for the setup of any stage décor or mandaps. Measurements for required dimensions can be obtained in advance, and Wedding star cannot accept responsibility for any shortfall in the required space.

  • For marquee events, it is the client’s responsibility to ensure adequate height clearance is available. Measurement of the highest and lowest marquee point will need to be supplied by the client to Wedding star.

  • It is the clients responsibility should the dimensions not be provided and the allocated space is not suffice.

  •  The client must ensure there is sufficient electrical power available for the items hired from Wedding Star. Special observations must be made when generators are used due to limited power output.

  •  Red carpet ordered within package. Will be second hand carpet. This will not be brand new and may have wear and tear, unless a new one has been ordered specifically for the event and paid for by the client. Wedding star will do their best to ensure all carpets provided are in the best condition.

  •  It is the client’s responsibility to notify Wedding star of any restrictions the venue has on staples being used on staging or tables. Wedding Star cannot accept any liability or hold any responsibility if notified on the day or event has been completed.

  • All details on the invoice/quote should be thoroughly checked by the client for any errors, and must notify Wedding Star of any discrepancies. Wedding Star accept no responsibility for any issues arising from or as a direct result of any errors on the invoice.

  • Foyer swings are prop items that are left unsupervised in venues after the initial set up. Wedding star cannot be held responsible should any accident occur due to misuse of the foyer swing.

  •  Any draping hired for events in marquees may need to be secured using wire to the marquee structure or lining. It is the client’s responsibility in the ensuring this won’t be a problem with the marquee company as Wedding Star will not take liability should any damages occur.

  •  Wedding Star will not allow red vermillion powder or ghee to be applied on any items such as Mandap Pillars, Havan Kund, Bajot, Patla, choris. It is the client responsibility to inform the priest beforehand. The client will be liable to charge should the items have stains on them upon collection.

  •  Cellophane on new carpet will be removed immediately after set up is complete. Should the clients wish to have this removed at a later stage then this must be done at their own responsibility.

  • All clients must supply Wedding star with a floor plan clearly showing where all décor is to be placed for all events. This must reflect the information on the invoice and is the client’s responsibility to ensure the invoice and floor plans are matching and provided to the team 4 weeks prior to the event.

    13.Alterations:

    Wedding star reserve the right to re quote any items on a quotation should this change after the date of the quote. Increase in items added to the quotation/ invoice will be charged at the rate applicable at that time, which may differ from the original stated prices.

  • Once any package price has been quoted /invoiced, and should the client wish to change / remove any items from the package, the stated prices for the other items and /or the package may change to reflect the adjustment (S) made.

  • Any changes to an invoice must be made 4 weeks prior to the event. In the order to avoid interference with processing operations. Wedding Star cannot guarantee the supply or service of any adjustment made within the final 4 weeks prior to the event, and can also reserve the right to deny any such changes.

  • No changes /adjustment can be made to the invoice within the last 4 weeks prior to the event to avoid any issues arising or items being missed/not amended.

  • Wedding Star reserve the right to make adjustments to the terms if necessary at anytime. Clients will be notified if any changes to these conditions.

  • 14. Complaints:

  • Should there be any complaints, please advise the onsite team member from Wedding Star during the event. If unavailable please contact the relevant office that has been dealing with the booking to make them aware of any issues.

  •  All complaints should be made in writing within 7 days of the event to Wedding Star email address.

 

CROCKERY HIRE TERMS & CONDITION 

1. Equipment remains the property of Wedding Star Ltd Catering Equipment and Furniture Ltd at all times.

2. Prices quoted are ex VAT and are for a Weekend hire or 3 days midweek (delivery day, usage day, return day). Extended hire terms are available on request.

3. Full payment must be made before goods are released. Cheques must be paid 2 weeks in advance. Returned cheques will be subject to a charge.

4. The person signing the delivery note must inspect the hired equipment and confirm the equipment is received in good condition. Order queries must be brought to our attention PRIOR to use of the hire. Failure to do so will result in the assumption that any losses are the hirer’s sole responsibility.

5. In the event of unsatisfactory working of hired equipment, Wedding Star Ltd should be immediately notified of the fault. No attempt should be made to repair the equipment.

6. If the hirer has any cause for complaint concerning the condition, suitability or performance of the equipment hired, Wedding Star Ltd should be notified immediately. No consideration for redress will be given once the equipment has been used.

7. Cancellation of orders within 72 hours will be charged the full hire cost.

8. The hirer is fully responsible for the equipment and for insuring the equipment if necessary, from the time of acceptance until returned. No insurance is provided by Wedding Star Ltd.

9. Drivers are not authorized to return deposits or check goods. It is the hirers responsibility to ensure that all goods are returned upon collection.

 

10. Table linen must not be returned or stored damp or wet. Damage that will not respond to laundering will be charged at full replacement cost.

11. The hired equipment is solely intended for use and storage indoors unless specifically manufactured for outdoor use. If the equipment is used or stored outdoors the hirer is fully responsible for damage caused by the weather or any other associated hazard.

12. All equipment, including their boxes, and furniture are to be returned dry and intact. A charge will be made for all cartons, boxes, chair skates or trolleys lost or damaged.

13. All goods will be delivered clean and ready to use and should be returned clean. A dirty charge of  20% of the hire charge will be added to the hire cost which is fully refundable providing the goods are returned clean.

14. Standard delivery charges are for a ground level entrance, door to door, between the hours of 9am and 5 pm Monday to Friday. Additional charges apply for any delivery or collection, which falls outside of these parameters. Where delivery entails our staff taking goods to specific rooms or having to disassemble equipment after use, extra charges will be levied. Should the driver be unduly delayed when attempting delivery or collection then charges will be imposed.

15. A refundable deposit is required. This deposit less the replacement cost of any breakages or losses is returned after the equipment has been checked off at our depot. Where the deposit is not sufficient to cover the replacement cost the hirer must pay the balance.

16. Hirers must ensure that they or their agent are at the delivery address. Wasted journeys will be charged for and we cannot guarantee re-delivery.

17. The Hirer is responsible for ensuring that their delivery/collection instructions and arrangements are consistent with parking restrictions. Wedding Star Ltd reserves the right to pass on any parking charges obtained whilst attempting delivery or collection.

18. While Wedding Star Ltd will make every endeavor to carry out delivery and collection at the times requested by the hirer no responsibility will be taken if these times are not met.

19. Wedding Star Ltd is under no liability whatsoever for any injury or damage to persons or property from the use of any hired equipment. 

20. Wedding Star Ltd is under no liability whatsoever for any loss of profit claimed by the hirer in respect of any interruptions, delays, inaccuracies, errors, omissions or any failure to deliver. 

21. Whilst every effort will be made by Wedding Star Ltd to complete all orders, Wedding Star Ltd cannot be held liable for variation or non-completion of orders due to any act of God, Fire, Flood, Storm, Gale, Tempest, War, Pandemic, Terrorism, Strikes, Riots, Lockouts or any other civil disturbances.

22. The rights to Endue, Provision and Supply are held solely by Wedding Star Ltd Catering Equipment and Furniture LTD and may be withdrawn at any time without penalty.

 

Delivery and Collection:

Standard delivery and collection:

  1. Is between 9am and 5pm, Monday to Friday.

  2. To a ground floor property, door to door.

  3. Adequate parking and access to the property is the hirer’s responsibility.

 

Additional charges will apply:

  1. If delivery or collection is required outside of standard operating times.

  2. If it is not a ground floor property or the goods are to be delivered beyond the front door.

  3. If the driver is unduly delayed or detained.

 

It is the hirer’s responsibility to ensure that someone is available to receive the goods between 9 am to must be requested at the time of booking and although Wedding Star Ltd will make every possible effort to meet requested delivery times it is not guaranteed.5pm on the agreed delivery date. Goods will not be left outside. Notice
